IMPORTANT NEW INFORMATION FOR 2010

á      DUTY SCHEDULE by duty (.xls), by teacher (.xls)

á      Festival Fee - $175 per participant.

á      Payment - (this is very important) No deposit.  The entire amount is due by Friday, February 26th, in one check from each sending institution for all of their participants.  If your school splits the cost with the students or your booster group, it is your responsibility to deal with merging those payments with your single school check. From the cuts being made until the deadline, you will have almost three months to complete the transaction.

á      ALL PAYMENTS AND COMPLETE FORMS SHOULD BE SENT TO:
ROB WESTERBERG
147 Cleaves St., Unit #3
Biddeford, ME 04005

á      Medications policy – Please read the section below concerning students with daily medications.  It is imperative that all students attending All State with medications (prescription or OTC) understand that those medications must be turned in (with the exception of inhalers and epi-pens) at registration for safekeeping and will be dispensed by a licensed medical professional during the weekend.

á      On-Line Registration - DirectorsÉwe are entering our fourth year of on-line student registration for All State.  Every year, we run into one or two snags with on-line registration, most of which are caused by inattention to detail or not understanding how this worksÉ..so listen up!

1)   Once the cuts are posted and the registration process begins, you have from that date until the cut off date (FRIDAY, JANUARY 29TH, 11:59 P.M.) to register your students electronically.  This is done through the AS on-line web site that you used to register for auditions.  You then have until Feb. 26th to get the check delivered to Rob.

2)   I know this is difficult, but take your time with the first one you do and read all instructions carefully and follow them.

3)   You will need student information and parent informationÉthere is a helpful page (NOT a registration form) designed exactly for gathering that information (Larry brings you right to it) before you start, OR you can have the students fill in the information to the best of their ability, print off a copy of the not-quite-complete form, have the students take the draft version home for editing and then return to the web site to complete the form with all of the correct information (spelling counts!).  You can do this as many times as necessary during the open registration period, since each time you submit the form it overwrites the previous one.  When, and only when, you are sure that all of the information is correct should you print the final copy and gather all of the required signatures.

4)   As last year we, all students/teachers must register on line as well as send in the acceptance form from that on-line registration.  EVERYONE that registers students should start the process early and inform Rob or myself immediately if you have any issues with on-line registration.  From past experience, some of you may need to go to your computer tech person for assistance due to internal filters on your system, and itŐs better to find that out the day after the cuts than the day of the deadline.

Student/Festival Registration for Thursday, May 20...

Registration is at Hancock Hall

IMPORTANT – Due to a change in policy, all students that receive medications will have an extra step in the registration process.

Students that require daily medication (with the exception of inhalers and epi-pens) will be required to turn in those meds to our staff nurse for safekeeping.  Those students will need to see the nurse during appropriate scheduled hours to receive their meds.

Directors should plan for the extra time at registration and arrive earlyÉCentral and Northern groups especially need to be aware of this and plan accordingly.

Festival registration this year will be done over two hours:
***Registration for schools that auditioned at the CENTRAL
site will run from 8:00 to 9:00 ONLY
*** Registration for schools that auditioned at the SOUTHERN site will run
from 9:00 to 10:00, and earlier if you want
***Registration for schools that auditioned at the NORTHERN site will run from 9:00 to 10:00, and earlier if you want

ALL STUDENTS SHOULD BE REGISTERED AND IN THEIR REHEARSAL AREA BY 10:00

Lodging...
Wednesday night housing: once again, there will not be any offered through MMEA.
Southern and northern site schools have the option of traveling early on Thursday morning and registering closer to 10:00am, or lodging themselves Wednesday night at a designation of their choice. While we are aware that not providing for Wed night housing does create one more hurdle for some, I hope you will agree that the extended registration period on Thursday morning is an attempt to keep everything running smoother than ever, as we believe it did last year.
